1. Purpose

This Privacy Policy outlines how FER collects, processes, stores, and safeguards personal and operational data through the RAMIScope Android application. The Application is for FER employees and authorized contractors only. FER adheres to ISO 27001 and follows U.S. federal, Texas state, and relevant international privacy laws including GDPR and CCPA.

2. Scope

This policy applies to all authorized users, all personal and operational data processed in the app, and all devices used to access the Application. Unauthorized access or use is strictly prohibited and may be subject to legal action.

3. Information We Collect

3.1 User Authentication Data

Employee ID, username, and password
QR code linked to employee records
Device identifiers for security and audit trails

3.2 Operational Data

Photos captured via device camera or uploaded from gallery
Inspection documents (PDF, DOCX, and similar formats)
GPS coordinates linked to submissions

3.3 Usage and Audit Data

Activity logs (partial save, final save, submission)
Date/time stamps for all actions
Device activity metadata for security monitoring

4. Security & Protection

FER implements administrative, technical, and physical security measures to protect your data:

Encryption in transit (TLS 1.2+) and at rest using Sophos Endpoint Encryption
Role-based access controls and secure authentication
Annual vulnerability assessments and penetration tests
Incident response and breach notification procedures in line with ISO 27001

5. Data Sharing & Third Parties

Data may be shared with:

Authorized FER staff and management
ISO 27001–compliant cloud service providers under strict data processing agreements
Regulatory authorities when legally required

We do not sell or rent your data.

6. Data Retention

Data is retained only for as long as necessary to fulfill operational, regulatory, and legal obligations. Data is securely deleted when no longer needed.

7. User Rights

Under applicable laws (including GDPR and CCPA), you may request:

Access to your personal data
Correction of inaccurate information
Deletion of data where legally permissible

8. Children’s Privacy

The application is restricted to personnel aged 18 and above and is not intended for public use.
